Setup & Logistics – The Questions We Get Most

How does the setup process work? Once your order is confirmed, we coordinate everything with your venue. We check entry times, hall regulations and access routes in advance. On the day of setup, our team arrives with all furniture and equipment, sets everything up exactly as planned, and does a final quality check before leaving. You receive a clean, ready-to-use event space.

How long does setup take? For a typical trade fair stand with 30–80 furniture pieces, setup takes around 2–4 hours. For larger projects – full VIP lounges, multi-zone event spaces or roadshow setups across multiple locations – we plan the timeline together with you well in advance. We have set up 88 roadshow locations simultaneously across Germany. We know how to make tight timelines work.

Can you set up overnight or outside business hours? Yes – we regularly work overnight, on weekends and during restricted access windows at trade fair venues. Event timelines do not follow business hours, and neither do we.

Do you work directly with trade fair venues and event locations? Yes – we have working relationships with all major trade fair venues across Germany and know their specific requirements inside out. Messe Frankfurt, Messe München, Messe Berlin, Messe Stuttgart, NürnbergMesse, Messe Düsseldorf and many more. We handle all coordination directly so you do not have to.

What if the venue has very restricted access windows? We are used to that. We plan around every restriction – loading dock schedules, freight elevator bookings, security requirements, badge systems. Tell us the constraints and we will work within them.

What types of furniture are available for full-service rental? Our range covers everything a professional event needs: design chairs, folding chairs, upholstered seating, bar stools, lounge sofas, armchairs, high tables, dining tables, side tables, counters, bar modules, LED furniture, outdoor furniture and catering equipment. Over 100 varieties, available individually or as complete room concepts.

Can you develop a complete room concept – not just deliver furniture? Yes – this is one of our core strengths. We develop zone concepts, plan visitor flow, create moodboards and translate your brand identity into a physical space. Many of our clients come to us with a rough idea and leave with a complete, ready-to-execute event concept.

Do you supply equipment beyond furniture? Yes – we also supply tents, pavilions, containers, temporary structures, outdoor infrastructure, catering equipment and more. For very specific technical requirements we work with trusted partners. If you need it for your event, ask us.

What if something breaks or goes missing during the event? We have replacement furniture available and can respond quickly. All our furniture is inspected before delivery and arrives in perfect condition. In the rare case of an issue during the event, call your personal contact directly – we sort it out.

Pricing & Planning

How is full-service pricing structured? Full-service pricing covers furniture rental, transport, setup and dismantling as clearly itemised positions. You see exactly what you are paying for – no surprises on the final invoice. We are transparent about costs from the first quote.

How quickly can I get a quote? Within 2 hours – for any enquiry, any size, any location. Send us your event date, location, rough guest numbers and what you need. We come back to you with a concrete, personalised proposal.

How far in advance should I book? For trade fairs and large events: 6–12 weeks in advance is ideal. For smaller events: 2–4 weeks. For urgent projects: call us directly – we have equipped events within 48 hours when needed.

Do you offer packages for agencies and regular clients? Yes – event agencies, exhibition builders and regular clients receive preferential rates and priority scheduling. Get in touch to discuss a framework agreement.

International Projects & Multi-Location Events

Do you handle events outside Germany? Yes – we regularly deliver and set up across Europe and beyond. Austria, Switzerland, France, Belgium, Netherlands, Italy and further European countries are standard for us. We have operated in 24 countries on five continents, including Formula 1 venues worldwide.

Can you manage roadshows across multiple locations simultaneously? Yes – we have done exactly that at scale. 88 simultaneous roadshow locations across Germany is a real reference of ours. Multi-location coordination, centralised logistics, localised setup teams – this is something we do exceptionally well.

Do you speak English on site? Yes – our team and management communicate fluently in English. We also work in French, Spanish, Arabic and Portuguese for international projects.

After the Event

Do you handle dismantling and collection? Yes – with full service, dismantling and collection are fully included. We arrive at the agreed time, dismantle everything efficiently and take it away. You do not have to think about it.

What is the latest we can agree for collection? We work around your schedule and the venue’s access rules. Post-event collection can be arranged for the same evening, the following morning or a specific agreed window. We are flexible.
